At Rubil we are committed to Radical Privacy. We function as a Ghostwriter. We process your words to format them but we do not claim ownership of them. This policy outlines how we handle your information.

1. Information We Collect

We minimize data collection to the absolute essentials required to provide our service.

• Voice Input & Transcripts: We process audio for transcription and formatting. Your voice recordings are sent to our trusted service providers for processing and are immediately discarded after formatting is complete. We do not store recordings or transcripts on our servers.
• Dictionary & Preferences: Your personal dictionary (names, acronyms, projects, terms, expansions) and preferences (tone settings, UI preferences) are stored locally on your device. This data never leaves your browser.
• Usage Data: We collect anonymous aggregate metrics (such as extension usage counts) to monitor system stability. This data is not linked to the content of your recordings.
• Account Information: If you use a personal API key it is stored locally on your device using browser encryption.

2. How We Use Your Information

We use the information we collect for one purpose: to transform your spoken input into polished text based on your selected context (e.g. Gmail, Slack).

• No Training on User Data: We do not use your voice recordings or transcribed text to train our internal AI models.
• No Data Harvesting: We do not sell, rent or monetize your personal data or content.
• Client-Side Processing: Your dictionary is processed locally in your browser before formatting. Your personal names, acronyms and custom terms never leave your device.

3. Data Retention

Rubil is designed to be a zero retention utility for your content.

• Voice & Text: Your audio is processed for transcription and formatting then immediately discarded. We do not maintain a history of your conversations or drafts on our servers.
• Local Storage: User preferences and your personal dictionary are stored locally on your device. We do not sync this data to our servers.

4. Information Sharing

We do not share your personal information with third parties except as necessary to provide the service.

• Service Providers: We use trusted third-party providers (specifically OpenAI for transcription and text formatting) to deliver high-quality results. These providers process your audio and text transiently under strict enterprise confidentiality agreements. They are contractually prohibited from storing your data or using it for model training.
• What Goes to Service Providers: Your voice recordings and transcripts are sent to OpenAI for processing. Your personal dictionary (names, terms, expansions) is processed locally and not sent to service providers.
• Data Flow: Voice → Transcription (OpenAI) → Local Dictionary Processing (your device) → Text Formatting (OpenAI) → Formatted Output (your device)

5. Security

We implement industry-standard security measures to protect your data.

• Transmission Security: All data sent to service providers uses encrypted HTTPS connections.
• Local Storage Security: Your API keys and dictionary are stored using secure encryption methods within your browser environment.
• No Server Storage: We do not store your content on our servers. Your data exists only during active processing.

6. Your Rights

Since Rubil does not store your content on our servers you retain full ownership and control of your data at all times.

• Access & Deletion: Your dictionary and preferences are stored locally. You can view, edit or delete them through the extension dashboard at any time.
• Extension Removal: You may uninstall the extension or clear your local storage at any time to remove all stored data.

7. Changes to This Policy

We may update this policy to reflect changes in our practices. If we make material changes we will notify you through the extension or our website.
